Barriers to Communication class 12 

Many times, when we try to communicate, we get hindrances in the communication process. These hindrances, problems, or breakdowns are known as barriers to communication. These barriers will lead to ineffective communication, delay in transfer, misunderstanding of the message, etc. barrier to communication is broadly classified into these four categories:




  • Semantic barriers
  • Organizational barriers
  • Psychological barriers
  • Personal barriers

Semantic barriers under Barriers to Communication Class 12

Semantics is a branch that deals with language, words, and sentences. These barriers are thus related to the usage of wrong words, jargon, wrong decoding, etc.

Badly expressed message

When a message is expressed by the sender in a way that does not include the necessary words, or uses words and vocabulary which are wrong, etc. This badly expressed message can be misunderstood and many times leads to no clear communication.




Symbols with different meanings

There can be several meanings for a single word. When a sender uses one particular meaning of a word but the receiver decodes the messages based on another meaning of the same word then it leads to ineffective communication. For example, the word ADDRESS can be used as-
‘When will you address the meeting?’
‘Send me the address of our new client.’

Faulty translations under Barriers to Communication Class 12

Not always communication will take place in a single language. Many times there can be people who do not know the language we want to communicate in. here, the role of the translator comes in. when the translator does not translate in an exact manner and misses out on the core of the message then it leads to a faulty understanding of the message.

Un-clarified assumptions

When we communicate we generally have some assumptions which are also to be communicated so that the receiver does not understand differently. For example, a superior may ask his subordinate to go through the files before 5 pm. What he did not mention was that the subordinate needs to go through the files and make a presentation which he needs to present at 5 pm. This assumption that the missing areas of the communication might be already clear to the receiver may sometimes prove wrong and lead to chaos.

Technical jargon

Technical jargon means the words and sentences which are used by the specialists and may be clear to everyone. This will reduce the speed of flow of the message because the receiver first needs to understand the meaning of the words which also leads to ineffective communication.




Body language and gesture decoding under Barriers to Communication Class 12

Many times, we express ourselves through gestures. The gestures should match exactly with what we wanted to say. When a person wants to say YES, then he or she will move his or her head in a vertical direction i.e. up and down. When the body language does not match the message then it will be wrongly interpreted by the receiver.

Organizational barriers

These barriers are related to the organizational structure. Such as the policy or hierarchy etc.

Organizational policy

When organizational policy does not support the free flow of communication then it does not lead to effective communication. There should be several channels of communication so that effective, safe, fast, and correct messages can be conveyed. If the organization only follows a single network of communication then it does not help in proper communication.

Rules and regulations

Organizations unknowingly make rules which are rigid and procedures that are cumbersome will make the channel of communication less attractive and leads to delays in the transfer of information which may hamper the effectiveness of organizational work and administration.

Status

Because of the status of some people, we restrict ourselves from conveying the message. When a superior is not friendly enough that the subordinates are scared to communicate their ideas and thoughts then it leads to hampered communication.

Complexity in organizational structure under Barriers to Communication Class 12

Organizational structure is the hierarchical managerial levels that are set up by an organization that has its own benefits but when the organizational structure is complex then the flow of information takes time and the message may be distorted in between.

Organizational facilities

Organizational facilities play an important role in smooth communication. When there are frequent social gatherings then it builds friendly relationships in an organization and builds trust. Some other facilities are also important such as a suggestion box, complaint box, transparency in operations, etc.

Psychological barriers

These are the barriers that restrict a person from communicating or reduce the effectiveness of communication because of emotional or psychological barriers. They are:




Premature evaluation

Sometimes, we think that we have understood the message even without listening to it completely. For example: when a subordinate is talking about some important changes that the organization needs to make but the superior thinks that those changes are unnecessary in the middle of the conversation, he stops the subordinates but later on those changes appear to be important. This premature evaluation led to the loss of an organization.

Lack of attention

When the receiver is not in the mind frame where he or she can attentively listen to the sender’s message then it becomes a psychological barrier. Suppose a superior is preoccupied with some important work and the subordinate is trying to explain his idea to him, then the superior would not listen to him attentively and the subordinate may think that he is not recognized or given importance. These kinds of activities lead to ineffective communication and may hamper good relationships.

Loss of transmission and poor retention

This usually happens in oral communication where the message gets distorted while going through different levels and may lose its core before reaching the receiver which may lead to problems, chaos, and misunderstood messages.

Distrust under Barriers to Communication Class 12

When there is a lack of trust between the sender and the receiver then it may create a psychological barrier of not believing the message.

Personal barriers

Fear of challenge to authority

Many times, we withdraw or restrict ourselves from communicating because we think that it might negatively affect our own position. This happens in an organization too. When an employee thinks that communicating a certain problem or idea with the management will affect his authority then he stays quiet and does not communicate what was on his mind.

Lack of confidence of superior in subordinates

Superiors may not have trust or confidence in their subordinates and may not seek their ideas and advice which may be wrong sometimes and hamper good communication.

Unwillingness to communicate under Barriers to Communication Class 12

There may be a lack of preparedness due to which the person does not communicate or communicates unwillingly and this leads to no proper transfer of information.




Lack of proper incentives

There should be rewards, recognitions, incentives, etc for a good idea, the suggestion by subordinates so that they can willingly communicate their thoughts and ideas with the superior.

Improving the effectiveness of communication

There is always scope for improvement and there are certain aspects on which a manager can work so that communication improves. They are as under:

Clarify the ideas before communication

The idea thought problem, solution, query, feedback, etc. which we need to communicate should be first clear in our mind. When we do not have a clear picture of what we want to communicate then we may communicate in such a manner that is not clear to the receiver or it may get misunderstood.

Communicate according to the needs of the receiver

Communication will be effective and will yield some benefits only when the thoughts or the message which is communicated are according to the knowledge and understanding of the receiver. For example: if a science background student starts talking about formulas and theories, with his commerce background student, which he has studied in his class lecture today then it will become difficult for the receiver to understand and the conversation will not hold sense.

Consult others before communicating

Barriers to Communication Class 12 can be improved by Consulting others before communicating will help in making clear ideas and statements in a format that can be communicated effectively. Participation of subordinates will help in cooperation and give them a sense of acceptance and recognition also.

Be aware of the languages, tones, and content of the message

Effective communication will have the use of proper language and tones which do not hurt the receiver or any person around. The content should be rationally chosen so that it does not offend the sentiments of the receiver.




Convey things of help and value to the listener under Barriers to Communication Class 12

The message should be according to the needs of the listener. Communication in an organization should always be productive and should add some value to the receiver.

Ensure proper feedback and follow up

Effective communication can become more responsive only when there is feedback on the message conveyed i.e. whether the idea communicated is understood by the receiver or not. Usually, we have noticed that the communication in an organization is for the present situation, for ongoing projects, for existing commitments, etc. While effective communication also adds up the things related to the future.

People often confuse talking with communication. While talking and speaking are only one-sided, communication is two-way. Communication will be effective when the listener is attentive and also expressive and gives feedback in return.
